Required Supporting Documents for Application

What are the documents that you need to prepare before applying for a visa (status of residence).

The documents you need to submit are generally the same within the same group category of visas (status of residence). For a working visa (status of residence), you will need to submit :

  • Application form
  • Contract with your employer, letter of appointment, invitation letter, or any other documents to prove your activities, position, salary, period of time you will need to stay in Japan, etc.
  • Registry Certificate (Tokibo Tohon) of the company who employs you in Japan
  • The Company's most recent financial statements (Balance Sheet and Profit and Loss statement)
  • The Company's withholding tax report
  • Description of the company's activities (brochure, catalogues, printed web pages...)
  • Your CV/resume
  • Certificates of degree, certified transcripts, certificates of diploma, training, awards or qualifications
  • Documents to prove your previous working experience (letters from your former employers, etc.)
  • Portrait photo (3cmx4cm)

There could be other necessary documents depending on each individual case.

For a visa renewal, you will also need a certificate of employment (zaishoku shomei sho) and your personal, most recent tax payment certificate (nozei shomei sho) issued by the local city hall/ward office.

For a visa granted according to your family status (Spouse of Japanese National, Long Term Resident...) :

  • Letter of Guarantee
  • Questionnaire (for Spouse of Japanese national)
  • Documents to prove your income (Certificate of employment and the most recent tax payment certificate). If you don't work, you will need such documents from the person who supports you financially, or other documents such as your bank statements showing enough savings.

There are also other required documents such as family photos (in case of spouse visa) or a list of family members, certificate of criminal record (in case of 3rd generation Nikkei applicants) etc.

All the documents written in foreign languages must be translated into Japanese.

If you have any other documents that could work on your favor, you can also add them even if they are not mentioned on the list.

In many cases, it is recommended to write a statement (in Japanese) explaining why you need to obtain, change or renew your visa (status of residence).

Even if it's not required, submitting such statement helps Immigration understand your situation better, and possibly increases your chance of getting a visa (status of residence).

It is often a good idea to ask a professional like us to write such letter, as it requires a profound knowledge in Immigration Law and in Immigration's policies.

Once you have chosen the type of visa that best suits your case, you will need to apply for a Certificate of Eligibility (if you don't live in Japan under a long term visa yet).

There is an agreement between Italy and Japan that exempts Italian citizens from obtaining a visa. However, for all other foreign citizens whose countries of origin do not have visa exemption agreements, it is necessary to obtain a visa regardless of the purpose of the visit or the duration of the stay.

To enter Japan, it is sufficient to bring a valid passport that remains valid until the date of departure from the country, as well as the return airline ticket.

A passport is a document that is required at the time of international travels. It is issued by the government of the country to verify the identity and nationality of the candidate.

The submitted passport must meet the parameters given below

  • It must be valid for 6 months ahead of the span of stay.
  • It must be original and genuine.
  • It must have minimum two blank pages for the visa stamp.
  • It must not be torn, ripped, split, or damaged in any kind of way.

One cannot cross international boundries without the passport. It is considered a criminal offense otherwise.

The photo is provided to the authority so that you can be identified based on the same.

The photographs must be provided as per the given photo specifications

  • It must cover face 80% of the frame.
  • It must be of proper size with dimensions of 2 x 2 inches (length - 45mm, breadth – 45mm).
  • Two copies to be submitted with general photo guidelines.
  • It must be clicked on an all white background.
  • It must have a matte finish.
  • It must be a recent photograph.
  • The expressions on the face must be neutral, there must not be any kind of smiling of frowning in the photograph.
  • Any kind of glasses must not be worn in the photograph.
  • The hair must be tied back so that the face is clearly visible.
  • The ears must be visible clearly.
  • It must not have any headgear worn apart from religious reasons.
  • It is to be taken care that your teeth do not show in the photograph.

Recent pictures are mandatory as old pictures can cause the authorities to reject your application.

An air ticket is a ticket or pass that is possessed by the traveller who is taking a flight for travelling from one location to another.

It is an important document and it should be submitted for the given reason

  • It must be confirmed for the complete round trip.

An air ticket shows your course of travel and confirms your return to the native country.

An old passport is a passport that has expired or is completely stamped. In the visa processing, it is required to track the travel history of the applicant.

If available, the old passport must also be provided meeting the given criteria

  • If any of the traveler has old passport, it must be submitted along with latest passport.
  • It must be original and in a good condition to access the required information.

The JAPAN eVISA system (electronic visa)

Foreign nationals/people who wish to travel to Japan for tourism for a short-term period can apply for a visa online and receive an electronic visa (eVISA) through the JAPAN eVISA system. As of April 26, 2024, the JAPAN eVISA system is available for nationals/people residing in the following countries/regions.

Eligibility

  • (note) Online visa application via the JAPAN eVISA system is currently not available at the Consulate-General of Japan in Dubai.
  • (1) China Nationals of China, who reside in China
  • (2) Viet Nam Nationals of Viet Nam, who reside in Viet Nam and participate in a packaged tour organized by designated travel agencies
  • (3) Hong Kong, India, Indonesia, Macau, Mongolia and the Republic of Korea All foreign nationals/people residing in Hong Kong, India, Indonesia, Macau, Mongolia and the Republic of Korea (except jurisdiction over the Consulate General of Japan in Jeju), except those who are exempt from short-term visa
  • (1) JAPAN eVISA is available only to those who travel to Japan by plane.
  • (2) During the application process, the applicant may be requested to appear in person at the Japanese overseas establishment with jurisdiction over the place of the applicant’s residence for an interview.

Types of visa

Single-entry short-term stay visa for the purpose of Tourism (for a period of up to 90 days) (Note). Electronic visas will be issued to those who applied through JAPAN eVISA website.

(Note: For nationals of China residing in China, electronic visas with a period of stay "15 days" or "30 days" will be issued. For nationals of Viet Nam residing in Viet Nam, the period of stay of electronic visas will be "15 days".) (Travelers with eVISA are required to display “Visa issuance notice” at the airport in the internet environment. PDF data, screenshot and printed copy will not be accepted.) If you wish to visit Japan for other purposes or for a long-term stay, please submit your application to the Japanese Embassy, Consulate General or Consular office with jurisdiction over your place of residence. Planning to travel to Japan any time soon?

Applying for a visa can be daunting, but it shouldn't stop you from taking that trip to see the Land of the Rising Sun. With some proper preparation of all the necessary documents, you'll be able to get approved for your Japan vacation.

There are different types of Japanese visas but we'll focus more on the tourist ones for those who want to go on a quick leisure trip to experience the country. There are two common tourist visas: the single-entry allowing holders to enter Japan once and stay for as long as 90 days, and the multiple entry visa which lets the holder enter the country many times within a specified period for at least 15 to 30 days each stay. Here are the requirements you'll need to get ready.

  • Valid Philippine passport  in good condition, must be signed and have at least two blank visa pages
  • Visa application form which you can download here
  • Your itinerary in Japan which includes your port of entry, where you intend to stay and the contact number of the accommodation
  • A passport photo 2 x 1.4 inches with a white background taken within six months
  • If your birth certificate is "late registration," you must also submit a  Baptismal Certificate  and a Form 137  from high school or elementary, both of which must be issued within at least three months
  • You only need to submit a birth certificate if you have never applied for a Japan visa before
  • You will also need to write a letter of authorization for the Japan Embassy to verify your birth certificate
  • Original Marriage Certificate (if married) issued within one year
  • Bank Certificate  of a personal account (not company/business) issued within three months
  • A copy of your latest Income Tax Return

If someone else will be shouldering your travel expenses, you must also submit the following:

  • Guarantee letter
  • Proof of relationship between applicant and guarantor
  • Bank Certificate and Income Tax Return of the guarantor

Once you've acquired all the requirements, choose an accredited travel agency from this list from the Japanese Embassy. Fees may cost P950 to P1,200 for a single entry visa, depending on the travel agency.

Multiple-entry requirements

Want to get a multiple-entry visa? This type of visa has some conditions for issuance, so it may not be as easy to get one. For instance, you will need to have a history of travel as a temporary visitor to the country in the last three years.

If you pass the conditions, you will need the same requirements as above but also include an explanation letter for requesting multiple entry, proof of your travel to Japan in the last three years, and proof of financial capacity. 

So how much money do you need in your bank account to get your visa approved? The Japanese Embassy hasn't really specified a certain amount but what's advised is to have enough to fund your travel expenses. 

As for how long a tourist visa is processed, it will usually take seven to 10 business days. It's best to get your visa processed a month before your trip so you have ample time to request documents that you might not have around.

Additionally, you don't need to book a hotel or a flight before your visa is processed. In fact, travel agencies advise against it. It's best to book once your visa is approved.

Remember, just because you submitted all your documents, it doesn't automatically mean that you'll be granted the visa.
