How to prepare for your next trade fair visit in 13 easy steps

A trade show is a world of opportunities. Many companies have at least one mandatory expo in their annual agenda - an event which provides them with information, contacts or products they can’t afford to miss. But keep in mind that success during the few days of any given trade fair is unimaginable without months and months of preparation. Follow these 13 steps when planning your next expo visit.

1. Check the COVID Travel Rules

Before you pack your bags make sure you are actually allowed to travel. Regardless of whether you are planning to visit a local expo or an international one, you need to carefully research the government rules and regulations. Sometimes even different regions or states in the same country have different requirements. Ensure yours and your team’s safety and take all precautionary measurements. Remember to take enough facemasks and hand sanitiser and follow strictly the social distance rules. Consider attending the trade show online if you are falling in one of the high-risk groups. 2. Select the Right Trade Show for Your Business

This one could seem difficult if you are new to B2B trade show marketing, but ultimately, it comes down to good research. Remember, don’t rush - especially if you plan to exhibit (in that case it is always best to start with a smaller investment - go to a trade fair as a visitor first and see if it fits your needs). The event you are considering might be popular and praised and still not relevant to your business. Make a list of all industry events and find out which trade shows are preferred by your existing and potential customers, your competition and suppliers. Identify your goals. Do you want to:

  • familiarise yourself with the new products, trends and technologies?
  • network and create new business contacts?
  • meet with investors?
  • find suppliers and order goods?
  • negotiate business deals and sign contracts?

Once you have your mind on a trade fair, visit its website for additional information. It will confirm if you are on the right path, with details such as exhibitor and visitor profile, testimonials, previous editions’ reports, product segments, themes, etc. The site will contain the expo's dates and venue, schedule and supporting events. Even if your main focus is on the exhibition, these events are important, as each of them represents a possibility to extend your knowledge and business contacts. The website might also include articles on the current industry issues, various tips and other features. Read the information thoroughly before you register.

4. Register on Time

After you familiarise yourself with the trade fairs’ website, and you are sure you want to attend the event, it’s time to register. Do not leave it for the last moment. Undoubtedly, you’ll devote all your efforts to the expo. However, you can still leave room in your busy schedule for sightseeing. You could even explore the city surroundings if you decide to extend your trip. What does the area offer? Is there a historical site you wish to visit, or a cultural event you would love to attend? Let your business trip be a way to enjoy your favourite pastime or broaden your horizon.

Chinese trade fairs are becoming increasingly important as the size of the economy increases and the technology level improves. Hundreds of thousands of business people attend these five conferences from basically every country in the world hoping to buy or sell needed products and scouting for business opportunities.

1) The Canton Fair (China Import and Export Fair)

The Canton Fair (广交会) is a national fair and is China's biggest trade fair. They feature basically every type of industrial product from electronics to automobiles in Phase 1, consumer goods and gifts in Phase 2, and clothing, medicines, and recreational products in Phase 3. The event is held twice annually in the Spring and Autumn.

Though most of the buyers are from other Asian countries, buyers from the Europe, the US, and Russia each make up about 10% or more of the buyers. It is designed to be an international event with multiple language assistance for the people from 200 countries.

Transportation

Getting there: The Pazhou complex is conveniently located on Pazhou Island in southeast Guangzhou. Travel to the complex by taxi, hotel shuttle bus, subway, or our drivers. Most Guangzhou hotels offer free shuttle buses during the Canton Fair, however the shuttle bus timetable is very limited and there is little choice. The subway is a very good choice to get to the Pazhou Complex and provides good access almost anywhere in Guangzhou.

Canton Fair Metro Map : Xingangdong (新港东站) and Pazhou (琶洲站) on Metro line 8 are the two nearest metro stations to the Canton Fair venue.

Climate: The fair is usually held in the months of April and October. Other than for the fair, April isn't a high travel and tourism month which makes things easier for hosting the conference. The weather is damp and rainy with cool nights. October is a high tourism month, but the warm and sunny weather is comfortable for the exposition attenders.

  • Attendance: about 200,000 buyers for the October fair. About 24,000 of these buyers are foreign from almost all countries.

The four other trade fairs are temporary, but the Yiwu Trade Fair (义博会) is a permanent fair targeted for small buyers from all over the world looking to buy wholesale products at the lowest prices. The price are a little lower than at Guangzhou. In addition to the permanent trade market, many annual exhibitions of various categories of products attract more buyers and exhibitors to Yiwu City.

The International Trade City, also called China Commodities City, or simply Yiwu Market, is the biggest of the Yiwu market places. It has as many as 70,000 booths with 100,000 sellers representing factories all over China. It measures 4,000,000 square meters or 43,000,000 square feet.

The biggest of the annual fairs is the annual Yiwu International Commodities Fair (中国义乌进口商品博览会) at the International Exhibition Center. It is in October. Goods from tens of thousands of Chinese factories are displayed.

Yiwu attracts tens of thousands of Africans, South Asians, and Southeast Asians with suitcases looking for consumer products to sell in their own countries. Anyone could go there and shop, and the prices and variety is the best in the world.

The Bauma Fair (中国国际工程机械,建材机械,矿山机械、工程车辆及设备博览会or上海宝马展for short) is a national trade fair for China's construction industry and construction related companies. China has the largest construction industry by far, so this is a very important trade show. It is Asia's biggest construction trade fair. They feature basically every type of construction equipment.

Getting there: The Shanghai New International Expo Centre (SNIEC) complex is conveniently located in the Pudong business district (CBD). So it is near the Shanghai World Financial Centre , the Shanghai Tower , and plush hotels in Pudong. Travel to the complex by taxi, hotel shuttle bus, subway, or our drivers.

Foreign Business Travel

It is worthwhile to visit overseas markets before you conclude an export deal. Many foreign markets differ greatly from the U.S. market. Learn about cultural nuances that may affect the design, packaging, or advertising of your product in another country.

Traveling abroad can also generate new customers. Your business partners or customers may prefer to conduct business in person first. 

Prepare by meeting travel requirements, planning an itinerary and learning about the Business Culture .  

All international travelers are required to have proper documentation before leaving the United States. You must have a current U.S. passport, visas from certain host countries, and in some instances vaccination records.  

Travel Requirements 

Start preparing early.  Businesses should allow at least 6 to 8 weeks to acquire all the necessary documents.  

Passports: 

  • All travel outside the United States and its possessions requires a valid U.S. passport. Information is available from the nearest local passport office.
  • You can also get information on passports, applications, and renewals from the  U.S. Department of State . If you are in a hurry, express service is available for a fee. 

Visas: 

  • Many countries require visas, which cannot be obtained through the U.S. Passport Services Directorate.
  • Visas are provided by a foreign country’s embassy or consulate in the United States for a small fee. You must have a current U.S. passport to obtain a visa, and in many cases, a recent photo is required.
  • Allow several weeks to obtain visas, especially if you are traveling to developing nations.
  • Some foreign countries require visas for business travel, but not for tourist travel. When you request visas from a consulate or an embassy, you should notify the authorities that you will be conducting business.
  • Check visa requirements each time you travel to a country, since regulations change periodically. 

Vaccinations: 

  • Requirements for vaccinations differ by country. Although there may not be any restrictions on direct travel to and from the United States, there may be restrictions if you travel indirectly and stop over in another country before reaching your final destination.
  • Although not required, vaccinations against typhus, typhoid, and other diseases are advisable.
  • Check the Centers for Disease Control and Prevention (CDC)  website for current conditions by country and region. 

Foreign Customs and Travel Advisories: 

  • Because foreign customs regulations vary by country, find out which regulations apply to each country you plan to visit. 
  • If you’re bringing a product for demonstration or sample purposes, an ATA carnet may be helpful. 
  • Find out if there are travel advisories issued by the  U.S. Department of State for the countries you plan to visit. Advisories alert travelers to potentially dangerous in-country situations.  

Other Tips: 

  • Prepare for different weather conditions. Seasonal weather conditions in the countries could be different from conditions at home. 
  • Address health care issues. Plan appropriately with respect to prescription drugs, health insurance, vaccinations, and other matters, including dietary needs and preferences. 
  • Think about money. U.S. banks can provide a list of automatic teller machines overseas, exchange rates, and traveler’s checks. 

Planning an Itinerary

A well-planned itinerary enables you to make the best use of your time abroad. Although traveling is expensive and your time is valuable, an overloaded schedule can be counterproductive.

Check if a travel agent service is right for you. They can arrange transportation and hotel reservations quickly and efficiently. They can also help plan your itinerary, obtain the best travel rates, explain which countries require visas, advise on hotel rates and locations, and provide other valuable services. Because hotels, airlines, and other carriers pay the fees charged by travel agents, this assistance and expertise may be available at no charge to you. 

As you plan your trip, remember to:  

  • Obtain the names of possible contacts and arrange appointments. Confirm the most important meetings before you leave the United States. The U.S. Commercial Service business matchmaking services can help. 
  • Determine whether an interpreter will be required and, if so, make all necessary arrangements before arriving. Business language is generally more technical than the conversational speech that many travelers can handle — and mistakes can be costly. The U.S. Commercial Service can assist in locating qualified translators.  
  • Keep your schedule flexible enough to allow for both unexpected problems (such as transportation delays) and unexpected opportunities. However, be sure not to miss a scheduled meeting due to an unscheduled invitation.  
  • Consider transportation. Be aware of public and private transportation available in each country you’ll be visiting and have a plan for getting around. Make arrangements (e.g., hiring a driver) before you arrive. 
  • Find out about the electrical current in each of your destinations. A transformer, plug adapter, or both may be needed to demonstrate company products, as well as your own electronics—such as laptops or tablets for presentations. 
  • Confirm the normal workdays and business hours in the countries you will visit. In many Middle Eastern countries, for instance, the workweek typically runs from Saturday to Thursday. Lunchtimes that last 2 to 4 hours are customary in many countries.
