What does business travel insurance cover? 

Business travel insurance bundles together several types of coverage, which typically include:

  • Trip cancellation insurance.
  • Trip interruption insurance.
  • Trip delay insurance.
  • Travel medical insurance.
  • Emergency evacuation insurance. 
  • Baggage insurance. 
  • Death and dismemberment insurance.

Coverage types and amounts vary depending on the travel insurance plan you buy.

“Travel insurance may cover trip cancellation, trip interruption, trip delay, medical expense and baggage for both leisure and business,” says Christina Tunnah, spokesperson for World Nomads. 

“The specific outcome of a claim, however, depends on the nature of the loss,” she says. “No matter what type of policy you choose, be sure to read the policy in its entirety so you understand any limitations or exclusions.”

Trip cancellation insurance for business trips

Trip cancellation insurance can reimburse you for 100% of the insured cost of your prepaid, nonrefundable travel expenses, such as airline tickets and hotel reservations, should you need to cancel your trip because of a reason listed in your policy. 

Reasons that are acceptable for trip cancellation benefits typically include severe weather and injury, serious illness or death of you, your traveling companion or a family member. 

Some travel insurance plans, such as AIG Travel’s Travel Guard Deluxe, will allow you to cancel if your business partner is injured, becomes seriously ill or dies. The Deluxe plan also provides trip cancellation benefits for select work reasons, such as unexpected job loss, employer-initiated transfer more than 100 miles from home and being required to stay and work during the scheduled trip. 

Trip interruption insurance for business trips

Trip interruption insurance can reimburse up to 150% of your insured trip expenses when you need to end your business trip early for a reason in your policy. 

If you have a death in your immediate family and need to return home early, trip interruption benefits could cover the cost of transportation to the airport and a last-minute flight home. It can also reimburse you for nonrefundable expenses like a hotel room that you will no longer need if you cut your trip short. 

Trip delay insurance for business trips

If your connecting flight is delayed or canceled, travel delay insurance can cover the cost of unexpected expenses you incur, like a meal at the airport or a night at a hotel. 

Trip delay insurance typically has a waiting period before benefits begin, so check your policy to see how many hours the delay must be before you can file a claim. Also, look for the daily and overall maximum benefits per person. If your trip delay insurance only provides $250 in coverage per day, that might not be enough for a taxi and hotel room.

Travel medical insurance for business trips

When on your business trip, if you get hurt or sick, travel medical insurance can help pay for medical care, imaging tests, lab work, medicine and a hospital stay. This can be particularly valuable if you travel to a country where your U.S. health care plan does not provide coverage. 

Emergency evacuation insurance

If you are badly injured or become severely ill in a remote location or underdeveloped country, emergency evacuation travel insurance covers the cost of transporting you to the nearest adequate medical facility for treatment. On some occasions, this coverage pays to fly you home for treatment. It may also include coverage for repatriation of remains if you die on the trip. 

Baggage insurance

If your luggage or personal items are lost, damaged or stolen, baggage insurance can cover the depreciated value of your belongings. This is typically secondary insurance, which means you’d have to file a claim with your airline or homeowners insurance first.

Baggage delay coverage can reimburse you for extra expenditures if you are without your bags for a period of time. There is usually a waiting period, such as six or 12 hours before benefits begin. If your bags still haven’t arrived after the waiting period, you can buy replacement items and file a claim for reimbursement. Be sure to note the maximum coverage limit per person as baggage delay coverage might only be a few hundred dollars.  

Many travel insurance plans do not include coverage for lost business equipment, so be sure to read your policy for exclusions. 

Death and dismemberment insurance

Business travel insurance often includes accidental death and dismemberment insurance. This might cover death or dismemberment that happens while traveling on public transportation, that results from a common carrier accident, that happens in any way except on a common carrier or that occurs at any point during your trip. Read your plan for details. 

What to look for in a business travel insurance plan

Business travelers should look for plans that include coverage for rental cars, business equipment, travel delays and trip cancellations. 

While most trip cancellation insurance policies cover emergency situations like the death of a family member or severe weather, some policies also cover business-specific cancellations. 

The Explorer plan from World Nomads, for example, includes trip cancellation coverage for certain business reasons, such as your company’s acquisition, merger or bankruptcy, physical damage to your company from a natural disaster, vandalism or theft and a requirement to stay by your boss. 

If your business trip requires you to travel with equipment, make sure it is covered under your policy. 

Allianz offers an annual AllTrips Executive insurance plan that covers both personal and business travel for an entire year. The AllTrips Executive Plan offers benefits for business equipment. If your business equipment is lost, stolen or damaged, Allianz will reimburse reasonable costs for equipment rental, replacement or repair. The policy covers up to $1,000 for replacement or repair and up to $1,000 for business equipment rental, per person, per trip.

Not all insurance plans cover work equipment. Insurance providers like World Nomads exclude coverage for professional equipment. If your bags are stolen, your personal belongings may be covered but your work devices or work-related gear like samples or trade show materials would not be, Tunnah says. 

Do you need medical evacuation insurance? 

Medical evacuation insurance is a good idea if you are traveling abroad to remote islands or regions of a country that have limited medical facilities or staff, says Scott Adamski, AIG Travel’s Head of Global Product Development. 

If this were to happen on your business trip, you might be close enough to get to a local clinic, but it might not be sufficient if the injury sustained requires advanced imaging or emergency surgery. In that case, you would need to be quickly transported to the nearest metropolis. 

Having medical evacuation insurance would be critically important because the costs associated with medical evacuations are expensive. 

“Even just from the Caribbean to Miami, an air ambulance will come with a five-figure cost, and we have seen many evacuations that land in the six figures. Because payment has to be confirmed before the air ambulance will even take off, travelers need to consider where the funds would come from,” Adamski says. 

He adds that while some group health policies offer coverage for evacuations, they may come with a coverage limit of $5,000 to $10,000. In the case of a $100,000 evacuation, you might be responsible for the balance. Facing such a financial burden while trying to get home could be overwhelming. A travel insurance plan with sufficient medical evacuation coverage would be vitally important in a case like this.

Most comprehensive travel plans include coverage for emergency medical transportation, but coverage amounts are typically lower in the more basic plans. If this is important to you, look for a plan with a high coverage limit.

In any case, you will need to provide the company with proof of your claim and the circumstances that caused it.

I don't own the building where my travel agency is located. Do I need a BOP?

Even if you don’t own your own building, you should consider BOP insurance if you have valuable property contained within your office space, such as computer equipment, printers, or a copy machine. If not, you can refuse the commercial property insurance and only purchase general liability insurance.

How do I show proof of insurance if I purchase Travel Agency Insurance?

What does business travel insurance cover? 

With our business travel insurance, you can choose between a Single Trip or Annual policy. We also have two levels of cover: Silver and Gold.

Whichever level of cover you choose, our Single Trip and Annual policies include business equipment cover, so you may not need to take out separate laptop travel insurance. We can even send a replacement business associate to complete your itinerary if you have to cut your journey short.

Business travel insurance can protect you if you need to cancel your trip before you travel, or if you need to curtail your journey. If your departure or your personal belongings are delayed, we can provide some compensation. We’ll even provide legal support to claim compensation for a fatality, or if you fall ill or are injured on your trip.

We also understand that medical cover is important. That’s why our travel insurance for business trips covers emergency medical expenses, personal accident and personal liability cover. You’ll have 24-hour access to a GP consultation service  too.

To help protect you while you’re away, our policies can cover you if you lose your passport, personal money or personal possessions. If you choose our Gold cover, you’ll also be protected against the financial failure of your end-supplier.

Whether our Single Trip or Annual business travel insurance is right for you will likely depend on how often you travel.

If you’re only planning on taking one business trip this year, then our Single Trip business travel insurance is the right insurance policy for you. But, if you’re a frequent traveller and you plan on taking multiple trips, our Annual business travel insurance could work out to be a more cost-effective option.

You can work out whether a Single Trip policy or an Annual policy is best suited to your needs by getting a business travel insurance quote online.

If you’re thinking of combining business with pleasure on your trip, while many sports and leisure activities are covered as standard on our Business Travel policies, from 5th May 2021, we will not be able to provide cover while you take part in riskier Category 3 and Category 3 sports and leisure activities like kite surfing and rubgy. This is only a temporary measure while we make improvements to the booking engine of our website. Please keep an eye on the Allianz Assistance website in the future so you are aware when we are able to offer this additional cover again. Policies purchased after 5th May 2021 aren't affected and your cover won't change.

If you’re likely to hit the slopes while you’re away, then we do offer  Winter Sports and Ski as an optional addition to your policy. This will provide you with protection against ski-specific risks such as avalanche closures, delayed or damaged ski equipment and unused ski-pack costs. 

How to ensure you have the right cover

Does your bank or credit card company provide cover.

Many bank accounts and credit cards come with some level of travel insurance cover. While some may be comprehensive, they may not cover you for everything you have planned whilst you’re away, particularly if you have adventurous plans or unusual excursions booked. 

Make sure you look into the travel insurance policy that you have before every trip, to make sure it’s suitable for you and your plans.

Purchasing a holiday using a credit card means you are often protected by Consumer Protection cover. In most cases, it allows you to get your money returned to you if your provider defaults and you cannot travel.

Artificial intelligence is changing the way you buy travel insurance. Here's how.

Artificial intelligence is transforming the way you buy travel insurance. From shopping for a policy to filing a claim, there's no part that hasn't been touched by AI.

"AI is revolutionizing travel insurance," says Greg Jung, chief growth officer for Seven Corners . "It's making it more efficient and tailored to individual needs."

Words like "efficient" and "tailored" are rare in the one-size-fits-all, bureaucratic travel insurance industry. For years, consumers had limited choices. And when they filed a claim, it took close to forever to get an answer, much less get paid.

Not anymore.

Jung says AI is doing away with that. The benefits to travelers include:

  • Personalized coverage. AI can analyze vast amounts of data on traveler profiles, including travel history, preferences, and even risk factors like age and health conditions. That allows insurers to recommend customized travel insurance plans that provide the right level of coverage for each individual's needs.
  • Proactive risk management. AI can analyze data to predict potential disruptions or emergencies that could impact a traveler's trip. This allows insurers to offer assistance, such as medical advice or flight rebooking assistance, in case of unforeseen events.
  • Faster claims processing. AI can automate much of the claims process, verifying documents, assessing damages, and expediting settlements. Travelers can be reimbursed for covered expenses much more quickly, especially for straightforward claims.

Behind the scenes, travel insurance companies are also using AI to conduct better risk management. And there are parts of the business where travel insurance companies won't talk about how they use AI, such as in efforts to sell policies on their sites. Travel insurance companies are also hush-hush about how they are analyzing data to set rates and identify patterns in fraudulent claims data.

This story is a long time coming. Travel insurance companies have been generally slow to adopt AI. You can see artificial intelligence in action in a few places, but in the places that matter to you — such as finding the best policy — there are still some gaps. AI won't fix everything in travel insurance, but it promises to make many things better.

What took travel insurance so long?

Why has AI been slow to catch on in the travel insurance industry? Well, it has — and it hasn't. I wrote about how Allianz was using machine learning to improve its products five years ago .

But across the industry, change has been gradual.

"Travel Insurance is highly regulated," explains Tim Dodge, vice president of marketing at Arch RoamRight . "There are strict policy definitions, communications guidelines and adjudication rules to which we must adhere. For AI to be successful in our industry, it has to be implemented carefully; improving the customer experience while maintaining regulatory compliance."

If you file a travel insurance claim and get frustrated with the time it takes to be settled, it's because of the way travel insurance is set up. There's a lot of required documentation to review in support of the claim.

Dodge says AI can potentially facilitate and speed up the claims handling process and reduce claimants' frustrations, and that's what travel insurance companies are now doing.

Where can you see AI in action right now in travel insurance?

Travel insurance companies are not waiting for the future.

Arch RoamRight’s AI chatbot has been integrated into every aspect of its customer experience, from its phone system to its website and travel agent portal. It's even used as a training tool for new hires, according to Dodge.

At Generali Global Assistance , a carefully trained chatbot helps customers obtain instant assistance, receive accurate information, and navigate policy complexities. "This digitalization empowers our agents to provide personalized support promptly," says Christopher Carnicelli, CEO of Generali Global Assistance.

Allianz Travel Insurance has been using AI to help streamline its claims process for years. It just added a new chatbot for customer support, too. "Our chatbot supports the customer during filing in the event the customer has questions or needs further assistance, and uses AI to qualify the customer’s needs to quickly get them the help they need,” explains Maggie Butler, director of customer experience at Allianz Partners USA.

At Faye Travel Insurance , an AI-powered app helps customers file claims for flight cancellations, baggage delays, and medical emergencies. The app speeds up the claims process, ensuring travelers get paid in hours instead of days. "It's part of our commitment to making travel insurance an integral and personalized part of each traveler’s experience," says Elad Schaffer, Faye's CEO.

Over time, the entire travel insurance industry will embrace AI. But there are exceptions.

Can artificial intelligence help you find the best travel insurance?

AI might help you find a better policy, but you have to know where to look. I tested the major AIs to see how they responded to a sample query, "I'm a 28-year-old woman who lives in New York. I am planning a one-week trip to Paris this summer. Please help me find the best travel insurance."

  • Gemini offered two options — Generali and Travel Insured International, but did not show rates or a bookable link. The responses appeared to be based on a news article.
  • Meta AI generated a succinct response citing the benefits of travel insurance with key coverage areas.
  • Microsoft Copilot showed a generic "how-to" story about travel insurance based on an article I had written for Forbes.
  • Hugging Face gave a generic response with advice on how to buy travel insurance.
  • Perplexity offered several specific options, including Seven Corners, Nationwide and Travelex. However, it based its quotes on a story on a news site and did not offer a link to buy the policies.

Bottom line: You can't really shop for travel insurance using AI — at least, not yet.

AI doesn't work for everything in travel insurance

In the travel insurance industry, like in other places, artificial intelligence isn't the answer to everything.

For example, at INF Visitor Care , a company that sells travel insurance to those traveling to the U.S., AI is helping automate its claims system. INF applies machine learning to identify emerging trends in claims to design policies that cover customers when they need it for unexpected issues.

"It has revolutionized the way we think about pricing and policy coverages," says PK Rao, CEO of INF Visitor Care .

But when it comes to customer service, AI is not always the best solution.

"We find customers enjoy talking to a live person on chat and phone," adds Rao.

The future of travel insurance and AI is promising

Over the long term, AI promises to reshape the travel insurance business into one that works the way customers expect it to — quickly, nimbly and efficiently.

At least that's what Daniel Green, chief technology officer for Faye Travel Insurance , sees.

"Imagine a world where most insurance claims are processed in hours instead of days," he says. "A computer system can go out and collect all the documentation for you and prepare the paperwork perfectly, ready for a human to make a quick decision on whether to approve it or not."

AI also has the potential to insure you for only what you need — to give you the "perfect" policy.

"AI can prepare it in seconds based on being able to tell a computer in your own words what coverage you need, by having it translated into insurance paperwork-speak for you," he adds.

We aren't quite there yet, but we're getting close.

There's one more thing that is potentially keeping AI from changing travel insurance — and that is customers themselves.

Breanne Armstrong, who is director of insurance intelligence at J.D. Power, says most consumers understand that artificial intelligence and machine learning have a lot of potential, "but there is hesitancy."

Armstrong bases her observation on another study that J.D. Power recently conducted on banking customers and AI. Only 28% of respondents said they believe AI will make their lives better in the next three years. Roughly one-third say it will make no difference, and 17% say it will make their lives worse.

All you have to do is engage with any chatbot to understand those 17% of respondents. Talking to an AI about banking or travel insurance — or anything else, really — can quickly end in frustration.

"There are mixed sentiments," adds Armstrong.

That may well describe how people feel about travel insurance and AI. It could be great. But if it isn't implemented carefully, it could be not so great.

As small-business owners hustle to file paperwork, find clients and customers and work toward profitability, they may overlook a key part of business planning — life insurance.

Why small-business owners need life insurance

Whether you’re a one-person show or managing a complex operation with multiple employees, life insurance can be valuable to your business plans, says Alison Salka, senior vice president at LIMRA Research, a Connecticut-based insurance trade group.

Small-business leaders have the well-being of their families, employees and clients at stake if an owner or important team member dies unexpectedly. They and their families may be left to handle day-to-day operations and move the business forward — all while processing personal grief.

Life insurance can help you or your business avoid liquidation, pay estate taxes, provide income for loved ones, or carry on operations for your clients. Certain types of coverage for business owners can also ensure that ownership and shares are transferred fairly to partners.

Types of life insurance for small businesses

Understanding the key types of life insurance for small businesses can help you make the best choice for your needs.

Individual life insurance

If you run a small business with no employees and are the breadwinner for your family, an individual life insurance plan like term life insurance may be sufficient to meet your needs.

Individual life insurance plans are popular among small-business owners because they serve both a personal and business purpose, Salka says. You’ll want to buy enough coverage to manage your personal debts and living expenses for your family, especially if they rely solely on your business income.

Key person life insurance

Sometimes called key man insurance, key person life insurance protects your business if an important employee or business member dies. Some small businesses rely on specific individuals with unique skills and knowledge, like skilled developers, CEOs or spokespersons.

Having key person insurance gives you breathing room to maintain the value of your business if you lose an important team member, Salka says. A key person life insurance policy can cover the expense of recruiting and training a new employee or replace the lost business income that the employee would have produced.

Buy-sell agreement

A buy-sell agreement establishes a clear transition of ownership if a partner dies, retires or becomes disabled. This type of contract provides a framework for co-owners or key employees to buy out a deceased owner’s stake in the business.

Business partners may take out life insurance policies on each other as part of a buy-sell agreement so they have the funds to make the business purchase.

Group life insurance

Both large and small businesses can offer group life insurance as a benefit to employees. These policies can be cost-effective for business owners and employees since premiums paid by employers are tax-deductible as business expenses in some cases, Salka says.

Group plans can make coverage accessible to a wide range of people, regardless of pre-existing medical conditions. Plus, offering additional benefits like group life insurance can help you attract and retain top talent.

Getting life insurance as a small-business owner

Nearly 3 in 4 U.S. adults (72%) overestimate the cost of life insurance, LIMRA’s 2024 Insurance Barometer Study found. In reality, a healthy 40-year-old man could pay less than $350 a year for an individual 20-year term policy with a $500,000 death benefit, according to Quotacy, a life insurance brokerage.

Follow these steps to insure yourself or your business.

Decide how much coverage you need. Consider both your personal and business expenses to calculate how much your family or business would need to survive long-term without you. 

Choose which type of life insurance you need. The size of your business and how you want ownership handled after you die can help you choose among an individual policy for yourself, a buy-sell agreement, key person insurance or a combination of multiple policies.  

Shop around and get quotes. Compare life insurance quotes from three to five companies online or over the phone. Working with an agent or broker can help you find coverage and negotiate the best terms for your needs.  

No matter how much life insurance coverage or what type you choose, understanding your business’s coverage needs is a key first step for a small-business continuity plan, Salka says. Preparing your family, heirs and business ahead of time can help everyone feel at ease and confident with your long-term plans.
